Waiora Collective – Policy & Terms

 

SERVICES / TREATMENTS
  • This studio provides strictly professional services only and has the right to decline or cancel any treatments for the safety of the practitioner and/or client.  
  • Treatments include time for consultation and assessment to enable the practitioner to appreciate your condition and to deliver a safe and appropriate treatment.
  • Complementary and holistic therapies are a health aid and do not replace your primary health care.
  • Payment must be made at the time of the appointment, if not beforehand (unless otherwise agreed with the Director of Waiora Collective).
  • If you arrive late to your appointment, the session time will not be extended.
  • Depending on your treatment you may experience mild discomfort, headaches, tiredness, or increased urine output.  
  • Please contact your practitioner and consult your health practitioner if you have medical conditions that become aggravated, or you have any severe ongoing effects after your treatment.
 
CANCELLATION POLICY
  • If you are unwell, or no longer require your appointment, please advise us as soon as possible.

Cancellations received within 24 hours of your appointment time will be subject to the conditions below:

  • LATE CANCELLATION / NO SHOW
    • Late cancellations may incur a $50 cancellation fee
    • No shows will be charged 50% of the appointment fee and must be paid prior to the next appointment. (No shows: Those who don’t turn up or cancel within 3 hours of their appointment).
 
MEDICAL CONCERNS
  • If you have a cold, influenza (or any other virus), fever, stomach bug(s), chest infection, conjunctivitis or any illness that may be contagious / communicable, please respect our practitioners and clients and refrain from coming into the studio until at least three days following the cessation of symptoms.
    • If you are unsure whether you should come in, please contact your practitioner to discuss to avoid being declined treatment.
  • If you have a medical condition that may require clearance from your medical or health practitioner or specialist prior to any treatment, please bring this information with you.
    • Please do not hesitate to make contact prior to your treatment to discuss any queries or concerns about a medical condition you may have.  This will hopefully avoid any disappointment if the session is not able to proceed.
  • Please include your Medical or Health Practitioner’s name on the Intake form that will be emailed to you from Waiora Collective.
  • Please include the date of Clearance and whether it was verbal or written after your Medical or Health Practitioner’s name on the Health History form that will be emailed to you by Waiora Collective.
    • If you have written consent please either bring a copy with you to your appointment and email a copy to your practitioner after you have completed an intake form.
 
PRIVACY

The privacy of your personal information is important to Waiora Collective. We are committed to collecting, using and disclosing personal information responsibly and only to the extent necessary for the goods and services we provide.

Like all health and medical professionals, we collect, use and disclose personal information to serve our clients. The primary purpose for collecting personal information is to provide treatment.

Like most organisations, we also collect, use and disclose information for purposes secondary to our primary purposes. The most common examples of our related and secondary purposes is, to invoice clients for goods or services that was not paid for at the time, to process credit card payments or to collect unpaid accounts. Basic information (ie, client name) may also be disclosed for security purposes for the studio, practitioner and client.

Clients or other individuals we deal with may have questions about our goods or services after they have been received. We retain client information for a mandatory minimum of seven years after the last contact.

 
PROTECTING PERSONAL INFORMATION

We understand the importance of protecting personal information. For that reason, we have taken the following steps:

  • We only maintain electronic records.
  • Electronic hardware is either under supervision or secure in a restricted area at all times.
  • Electronic information is transmitted either through a direct line or has identifiers removed or is encrypted.
    • Noterro encrypts all information between Waiora Collective and their server, they also further encrypt information when saving to an offsite back up mainframe / server.
  • External consultants and agencies with access to personal information must enter into privacy agreements with Waiora Collective.
 
MISCELLANEOUS
  • The Policy and Terms may be updated from time to time, unless there are fundamental amendments that change the content of the Policy and Terms, these will not be emailed to each client.
  • If the practitioner is unwell or unable to undertake the treatment sessions, affected clients will be contacted as soon as possible to have their appointment times rescheduled.
 
CONCERNS / COMPLAINTS

Please address any concerns or complaints with your practitioner, or the Director of Waiora Collective. If the matter remains unresolved, please refer to:
